Job Description

Summary/Objective
Serves as Executive Assistant to the Executive Vice President and performs a wide variety of executive administrative responsibilities, including assisting the CEO, Board of Directors and other teams in the Credit Union as assigned by the EVP. Responsibility requires high energy and excellent organizational skills.

Essential Functions

  • Assists the EVP/CEO in all aspects, including scheduling and calendar management, internal and external communications, preparation of reports and/or presentations as needed, event/travel planning and with the assistance of other team members.
  • Assists with Board-related matters, including scheduling meetings, preparation of the monthly electronic board report, recording regulatory and policy updates, and generally assisting Board members in their role as policymakers.
  • Attends and records minutes at meetings as needed and directed, including monthly evening board meetings.
  • Arranges lunches, dinners, other catering and/or events as needed.
  • Oversees activities in executive areas such as the Boardroom.
  • Interacts with a variety of external people, such as members and vendors.
  • Receives and routes incoming mail directed to the EVP and President/CEO.
  • Manage the board of director portal as needed.
  • Assist with other administrative needs as assigned.

BSA Requirements

This job requires and understanding of and compliance with the Bank Secrecy Act, OFAC, the USA PATRIOT Act, and related 1DCU policies and procedures, including the reporting of suspicious activity, including insider abuse, as directed.

 

Required Education, Experience & Skills

  • Two-year degree in business or administrative support-related field.
  • Strong computer skills; proficiency in Microsoft Office, specifically Outlook, Word, Excel and Power Point; and ability to learn additional computer programs as assigned.
  • Excellent oral, written and interpersonal communication skills.
  • Proven ability to work independently and manage multiple projects.
  • Maintain strict confidentiality of records and all information.

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
This is largely a sedentary role; however, some filing is required.  This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type/Expected Hours of Work
This is a full-time position. Hours worked may exceed 40 hours per week.  Occasional evening and weekend work may be required as job duties demand.

Travel
This position may require travel, up to 25%
